Summary:
As the Office Administrative Assistant you will ensure the operation of the office, answer phone calls, greet visitors, make copies, assist with new hires, maintain office inventory, applicant phone screenings, minimal accounting procedures, engage with upper management & employees, collaborate with the Executive Assistant, create new hire email addresses, generate reports, setting up for meetings, office filing & organization, and assist in office scheduling.
Job Duties:
- Answering the main phone line & transferring the call to the proper recipient - Welcoming any visitors into our office - Assisting the Executive Assistant with Corporate Staff Meeting Scheduling - Send out Welcome to the Team & Happy Birthday emails to the appropriate recipients - Sort through mail & give off to the correct individuals - Assisting in setting up meeting room - Provide General Company information to callers & website inquires - Maintain office supplies inventory, replenish when necessary - Administrative Duties:
filing, mailing, copies, binding, scanning, etc.
- Generating & Printing Reports upon request - Ensure all office equipment is running correctly & efficiently - Exhibit polite, professional, friendly demeanor to all phone & in person guests - Engage in communication throughout the whole time - Process vendor invoices into our Accounting System - Receive deliveries & incomng mail - Collaborate with the Executive Assistant to handle requests & inquires from General Managers - Write & Edit documents form letters to reports with assistance from the Executive Assistant - Engage in communication with upper management and employees Job Type:
